This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and related services (collectively, the “Service”) for Curriculum Based Education (CBE) System learners. By accessing or using CBE Resources, you agree to the terms of this Privacy Policy.

To provide you with a personalized learning experience and enable core functionalities such as study planning, revision tracking, and exam readiness, we collect the following personal information:

Name – To personalize your profile and certificates of completion.
Email Address – Used for account registration, password recovery, progress sync, and important service notifications.
Mobile Number – Optional but recommended for two‑factor authentication, reminders about revision schedules, and support verification.

We do not collect sensitive data like payment card details (any transactions are handled via secure third‑party gateways), government IDs, or biometric information.

2. How We Use Your Information

We use the collected data for legitimate educational and operational purposes:

Creating and managing your CBE Resources account.
Delivering personalized study, revision, and exam materials based on your curriculum progress.
Sending periodic reminders, motivational updates, and learning insights (you may opt out of non‑essential communications).
Improving our platform, troubleshooting, and analyzing usage trends (aggregated and anonymized).
Responding to customer support requests via email or phone.

3. Data Retention & Inactive User Policy

We respect your data and limit retention to what is necessary. Your personal data (name, email, mobile) is retained as long as your account remains active or as needed to provide you with services.

      🌸 Inactive Account Deletion: If you do not log in or perform any activity within the CBE Resources App for a continuous period of 30 days, your account will be flagged as inactive. All your personal data (email, name, mobile number) will be permanently and irretrievably deleted from our active systems and backups within 30 days after the inactivity period. We will notify you via email 7 days before deletion unless prohibited. You can prevent deletion by simply logging into your account.
    

After data deletion, your study records, revision history, and saved progress cannot be restored. You may create a new account, but previous data will be permanently gone.

4. Sharing & Disclosure of Information

We never sell your personal information to third parties. In limited circumstances, we may share data with:

Service Providers: Trusted partners who help with cloud hosting, analytics (e.g., Firebase, anonymous usage), and email delivery — all under strict confidentiality agreements.
Legal Compliance: If required by law, subpoena, or governmental request, or to protect the rights, property, or safety of CBE Resources, users, or the public.
Business Transfers: In the event of a merger, acquisition, or asset sale, your data may be transferred with advance notice and subject to the same privacy commitments.

Any third‑party access is limited to the purpose of performing tasks on our behalf and they are obligated not to disclose or use it for other purposes.

5. Data Security

We implement appropriate technical and organizational measures, including encryption (TLS/SSL), access controls, and regular security assessments. However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your personal data, we cannot guarantee its absolute security. You are responsible for keeping your login credentials confidential.

If we discover such data was collected without consent, we will delete it promptly.

8. International Data Transfers

Our servers may be located in Kenya or other regions (e.g., EU, US) depending on our infrastructure providers. By using the App, you consent to the transfer of your data to countries with different data protection laws. We ensure appropriate safeguards (e.g., Standard Contractual Clauses) are in place where required.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The latest version will always be available within the App and on our website (www.datartech.co.ke). Material changes will be notified via email or app notification at least 14 days in advance. The “Effective Date” at the top indicates when this policy was last revised.

11. Inactive User Deletion – Detailed Breakdown

As highlighted in Section 3, we enforce a strict 30-day inactivity data deletion policy. The 30-day countdown begins from the date of last user interaction (login, accessing study materials, taking a quiz, updating profile, etc.). Once the 30 days of consecutive inactivity pass, the system triggers a permanent removal of all personal data:

Email & Name – Completely removed from user database.
Mobile number – Erased from contact fields.
Usage history & exam attempts – Anonymized (cannot be linked back to you).

We also offer a manual “Delete My Account” feature inside the App settings – which instantly deletes your data without waiting for inactivity period. For more information, please refer to our help section or contact support.
